Write the Mentoring Session Report

Don’t rush the writing of the report, it’s more than a simple formality:

  • It’s a tool that gives students the instructions they need to work on their own between sessions.

  • It keeps the student’s training report up to date. Some learners may be penalized by their funding body if their file shows missed attendance.

  • Setting goals is an important part of being a mentor. Note them in the report to show us that you’re meeting the needs of your student.

  • You need an up-to-date report and session status to be paid for your work. 

The reports must be personalized, and we advise you to structure them in the following way:

The following must be mentioned in the report: what progress the student has made since the last session, what topics were discussed in the current session, and the objectives for the next session. You can also update the student's progress on the progres

Summarize Your Student’s Progress to Date

Tell us what your student did between the previous session and this session in just a few sentences.

This may include:

  • their research

  • learning to use a tool

  • taking a course related to the project

  • reaching a key point in the project

  • completing a particular task

  • writing the draft of a deliverable

  • polishing a working document, etc.

Review the Session’s Main Topics

Don’t forget to go back over the main topics that were discussed during the session.

This may include:

  • questions or doubts the student has.

  • obstacles they encountered or continue to encounter.

  • study resources.

  • a recap of recommendations you made.

  • avenues they wish to explore, etc.

Describe your Student’s Goals

Include the goals that you set together at the end of the mentoring session. Don’t forget to use the recommended SMART method to set goals, see the details below.

Each goal must be:

  • Specific: personalized to suit the student’s needs at the given time.

  • Measurable: give measurable targets to reach.

  • Achievable: attainable.

  • Relevant: designed to suit the current work phase and the student’s work pace and abilities.

  • Time-bound: establish a clear schedule or deadline.

After doing all this your report will be complete. Well, almost . . .

Estimate Your Student’s Progress

Remember to estimate (percentage) your student’s progress for the current project. Normally this is the project associated with the mentoring session on the platform.

This percentage is used to raise the level on the student’s progress bar, which shows their overall progress for the path. The progress bar is displayed on their dashboard:

The progress bar shows the percentage of completion for the full path. A final deadline for 100% completion is also provided.

  • The session report is a key document for the student’s training record. 

  • The report must be personalized and cover the mentoring session’s three main parts: a summary of progress, an update on the issues raised, and the goals you set together. 

  • The report should be updated as soon as possible: within 48 hours of the mentoring session. 

  • The tone of your comments should be helpful and encouraging for the student. 

  • Keeping the student’s progress up to date for their current project allows us to track their progress on the program as a whole.
