I don’t know about you, but I write a huge amount of emails every day. This takes time. ChatGPT can be extremely helpful in writing some of your emails.

• Planning a meeting or writing the meeting minutes

• Asking for a progress update on a project

• Acknowledging receipt of a job application

• Prospecting for clients

ChatGPT can help you in many scenarios like this. Here’s the response I got when I asked it for an email acknowledging receipt of a job application:

This is a completely valid concern. It all depends on how you use it. You need to put your own “stamp” on it.

But on the other hand, you have to admit that it’d be foolish not to save time by using ChatGPT.

You need to think of ChatGPT as a super spellcheck, which is capable of generating whole sentences from a single instruction.

Ask ChatGPT to Write a Letter

Now think about the letters you sometimes need to write. This takes time and many of them are very similar. ChatGPT can write a letter template on request, but it can also make it more personal if you give it more specific information.

Here are some examples of letters that ChatGPT can help you write:

What’s really nice about it is the fact that it’s been tailored to the situation using the instructions we provided about what Fred Jones is like as a person.

Ask ChatGPT to Write a Social Media Post

If required, you can also ask ChatGPT to write your social media posts for:

• LinkedIn

• X (formerly Twitter)

• Facebook

• etc.

Of course, ChatGPT can only produce text. It’s not suitable for generating images for Instagram stories or videos for TikTok (but there are already many other tools that can do this. For example, the latest iteration of Bing, the search engine, has a ‘chat’ feature that does this, as well as making suggestions of other searches you may then wish to explore).

Here’s a LinkedIn post I asked ChatGPT to write:

I find it fascinating that ChatGPT was able to write in the “LinkedIn style,” including emojis, hashtags and so on.

But Let’s Not Stop at the First Response

If the responses are still too generic, don’t forget that you can train ChatGPT by giving it examples of what you expect and asking it to use them as inspiration for the rest of your conversation. The more details and examples you can give, the better the results will be.

Try it for Yourself

Let’s imagine that you’ve recently changed careers to become a web developer and you’re looking for your first job as a developer. You already know that it’s a good idea to write personalized cover letters for the job openings you’re interested in, but you’re also well aware that this takes time. So, you ask ChatGPT to help you.

Points to consider:

1. Is ChatGPT’s response suitable? (Did it use the right company name, job title, key résumé elements, etc.?)

2. Are any changes required?

3. How many prompt iterations did it take to get a letter you’re happy with?

4. Did you split your request into a number of separate prompts?

To develop this further, ask ChatGPT to rewrite the letter giving certain parameters, such as staying within a maximum number of words or putting keywords in bold.

Let’s Recap

• ChatGPT is a versatile tool. It’s a bit like the Swiss army knife of writing, able to generate different types of texts including emails, letters, social media posts, and so on.

• It’s crucial that you personalize the messages so they sound human. Check and modify the texts it generates to put your own “stamp” on them.

• Be specific in your requests and provide details to ensure you get results that meet your needs.

• Remember to use the “Regenerate response” button if the initial response doesn’t work for you, so you can train ChatGPT with examples to improve its responses.

So, ChatGPT can write a whole text based on a short instruction. We’ll take it further in the next chapter, where we’ll learn to “transform” a text by changing its tone of voice or format.
